ARE YOU OPEN DAY READY
ARE YOU OPEN DAY READY
See if you’re ready and discover what your team needs to have in place to deliver a successful open day with confidence.
The five points below are the key criteria for a successful open day. Get each one in place to give your team a clear plan, your patients a consistent experience and your practice the best chance of success.

Everyone knows their role and works together to keep the day running smoothly.

Agree a strong, fixed price for the day. Everyone communicates the same price, with no last-minute changes.

Confirm a compelling offer with clear inclusions and terms, so patients can understand its value.

Space appointments sensibly: enough time for each patient and enough booked consultations to make the day profitable.

Agree the patient journey in advance and stick to it, from first enquiry to consultation and follow-up.

Commitment to the full Open Day process: Be fully committed to the Open Day from the preparation and marketing stage through to the event itself and subsequent patient journey.
Adhere to the agreed price & offer: Commit to and honour the agreed Open Day treatment price, offer and inclusions throughout the campaign, with no changes or deviations.
Participate in content filming: Be willing and available to take part in agreed video and photo content required to promote the Open Day in the lead-up to the event.
Follow the agreed consultation structure: Conduct Open Day consultations in line with the agreed format and patient journey.
Follow the agreed booking deposit process: Patients who are ready to proceed should secure their treatment with the agreed refundable booking deposit.
Offer the refundable reservation deposit: Patients who would like time to consider treatment should be offered the agreed refundable deposit option, allowing them to secure the Open Day offer for the agreed period.
Follow the agreed process throughout: Commit to the Open Day structure from campaign launch through to patient conversion and follow-up, without independently changing the offer, pricing, deposits or agreed patient journey.
ONE PRICE. ONE MESSAGE.
Agree your open day price before promotion begins. When the whole team communicates the same price, patients understand the offer and can take the next step with confidence.
Changing the price or giving different answers creates confusion and weakens trust. Keep the agreed offer consistent from the first enquiry to the consultation.
AGREED BEFORE THE DAY
ONE:
✓ Confirm the price - agree it before advertising.
✓ Define the offer - make inclusions and terms clear.
✓ Brief every role - reception, TCO and dentist use the same message.
✓ Keep it consistent - no last-minute changes.

DIARY CAPACITY & RETURN ON INVESTMENT
Protect enough diary space to turn patient interest into booked consultations. Too few available slots can limit the return on your marketing investment.
Keep consultations focused and appropriately timed, with enough time for a thorough assessment and clear next steps. Plan rooms, support staff and follow-up capacity before promotion begins.
